Education

Student systems, learning platforms and reporting that connect across institutions without adding friction to teaching, administration or student life.

Student experience is shaped by the joins between systems.

Education systems serve people at moments that matter: enrolment, assessment, graduation and the everyday experience of learning. Reliability and clarity are part of the service.

A student may interact with an application portal, a learning platform, a timetable, a library system, a student record system and several spreadsheets maintained by a faculty. Each system may be adequate on its own; the experience is created by the gaps between them.

Administrative staff often carry the integration burden: checking records, correcting duplicates and answering questions that the system should be able to answer. Reporting becomes a manual exercise, and data quality issues surface at the worst possible time.

A better approach connects the student record to the services around it, defines which system owns which data and gives students a clear, consistent view of their status and next steps.

02 Where systems break

The failure points are usually at the joins.

These are the patterns we see most often in this sector. They are rarely solved by replacing a single application.

01

Duplicate student records

Different identifiers and manual entry create duplicate or conflicting records across systems.

02

Manual enrolment processes

Staff reconcile applications, prerequisites, offers and enrolments across spreadsheets and inboxes.

03

Disconnected student experience

Students cannot see a single view of their application, enrolment, timetable and requirements.

04

Reporting complexity

Course, cohort and compliance reporting requires manual extraction and reconciliation.

What we build in this sector.

We combine capabilities around the operating process rather than around a product category. The mix below is typical; the actual scope is shaped by the constraint.

  • ('Student services hubs', 'A single student view that connects record, enrolment, timetable and support information.')
  • ('Integration and master data', 'Student identity, course and cohort data governed across the system estate.')
  • ('Enrolment workflows', 'Structured application, offer, acceptance and enrolment processes with clear rules and exceptions.')
  • ('Student portals', 'Accessible self-service for status, tasks, documents and communications.')
  • ('Teaching and operational reporting', 'Governed data models for course, cohort, load and compliance reporting.')

How an engagement usually starts

A short discovery to map the process, systems and information flows, followed by a target architecture and a sequenced first release. The first release is chosen to prove the operating model, not just the technology.

Education — operational context
Sector context shapes the architecture. We document the specific obligations, constraints and operating assumptions before proposing a platform.

Regulation is a design input.

Education obligations depend on the institution, the student cohort and the funding or reporting arrangements. We use them to structure privacy, access and reporting requirements; they are not a substitute for the institution’s legal advice.

  • Privacy and student-record obligations, including access and retention requirements.
  • Accessibility expectations for student-facing digital services.
  • Reporting obligations to government and funding bodies where applicable.
  • Security and identity requirements for student and staff access.

We treat student data as a record that must be accurate, accessible and protected. Identity, access and retention rules are defined with the client’s privacy and governance owners, and accessibility is tested as part of acceptance.

04 Representative engagement

What the work looks like on the ground.

Client details are withheld where confidentiality applies. The pattern and the operating lessons are representative of the engagements we undertake.

A multi-campus education provider was managing enrolment across three campuses with different spreadsheets and local practices. Students received conflicting advice, and the central function spent the start of each semester reconciling records.

We defined a common student and course data model, built a controlled integration layer to the student record system and delivered a student portal with a clear view of application status, enrolment tasks and key dates.

The first release covered domestic enrolment. The group used the period before semester to test exception scenarios: credit transfer, deferred offers, late changes and cross-campus enrolment. These cases shaped the workflow before peak load arrived.

What clients ask us first.

Can you integrate with our student management system?

Yes, subject to the available interfaces and vendor terms. We assess the integration options and define the data ownership before committing to a design.

How do you handle peak enrolment periods?

Through load planning, operational readiness testing and a support arrangement that covers the peak. Performance is tested against realistic volumes, not a demo dataset.

Do you build learning management systems?

We integrate with established learning platforms rather than replacing them. Our focus is the surrounding student, enrolment and data experience.

How is accessibility addressed?

Student-facing interfaces are designed and tested against the agreed accessibility standard, including keyboard navigation and assistive-technology checks.

What a single student view requires.

A student portal is only as good as the record behind it. A single view requires an agreed student identity, a clear source for course and enrolment data, and a consistent definition of status across campuses and faculties.

The design should start with the student’s tasks: what do I need to do, what is missing, what happens next, who can help? The answers must match what staff see in the administrative systems, or the portal becomes another source of conflicting advice.

Peak periods are part of the design. Enrolment, results and graduation create load spikes that a pilot dataset will not reveal. We test those journeys against realistic volumes and prepare a support path for the period when the service matters most.
